Weak enquiry management costs more bookings than any price objection. Here is a story almost every wedding photographer has lived through.
A couple emails on a Tuesday. They love your style, and they want your August date. So you reply that night with a price guide and next steps.
Then nothing.
You wait three days, then wonder whether to chase. But you would rather not look desperate. By the time you remember, two weeks have passed and the couple booked someone else.
If this has happened to you, you're not bad at sales. You don't have a follow-up problem because you're disorganised. You have a follow-up problem because your business has no system for it.
Let's fix that.
Why enquiry management fails and leads go cold
People do not ghost you over your work. Instead they ghost you because life gets in the way.
A couple sends ten enquiries on a Sunday afternoon. By Monday the wedding sits last on their list. Work, family, venue deposits and dress fittings all pull them away. So your Monday reply is buried by Wednesday.
Skip the follow-up and you lose them. Follow up too late and you lose them. Follow up in a pushy way and you lose them too.
So the trick is a quiet, polite, predictable system that chases for you. The Federation of Small Businesses makes the same point about small-firm sales discipline.
What good enquiry management looks like
Good enquiry management does three jobs:
- Reply to every enquiry within a few hours, not a few days
- Send a gentle nudge after a few days if the couple has gone quiet
- Move the conversation toward a clear next step (a call, a viewing, a contract)
Most photographers manage the first when things feel calm, which is enquiry management at its most fragile. However, they rarely do the second or third. That is exactly where bookings leak away.
Step 1 — Reply fast (even when you're shooting)
Couples replied to within hours book far more often than those left days. The reason is simple. They message several photographers at once, so the first thoughtful reply usually wins.
You cannot always reply personally that fast, because you are shooting, editing or with family. So set up an instant first reply that sends itself.
Something like:
Thank you so much for your enquiry. I have it, and I will come back to you properly within the day.
In the meantime, here's my full pricing guide so you can have a look while I'm with another couple.
A modern booking system for small businesses sends that the moment an enquiry lands. So the couple feels seen, and you buy back the day. Remember those details are personal data, which the ICO expects you to handle carefully.
Step 2 — Have one place where every enquiry lives
Spread enquiries across email, Instagram, a web form and WhatsApp, and you will lose some. Not through carelessness. Simply because nobody holds five inboxes in their head.
Good scheduling software for small businesses pulls every enquiry into one list. Then you see who came in, when, what they asked and whether you replied. Meanwhile the quiet ones stand out at a glance.
That single change is the most underrated upgrade in enquiry management. It separates "I think I followed up" from "I know where every lead is."
Step 3 — Set up two gentle nudges
You do not need ten follow-up emails. Instead you need two, sent at the right time and in the right tone.
Hi — just wanted to circle back in case the wedding planning has been a whirlwind!
Happy to answer any questions. If you would like to chat properly, grab a slot here: [link].
Hi again — I know how busy this season is, so this is the last nudge from me.
Your date is still open, though it tends to get busy. So if you would like to lock it in, just reply and I will send the details.
That is it. Two messages, friendly rather than desperate. Meanwhile the second creates gentle urgency without pushing.
Write these once, then let the system send them on a timer. So you never have to remember to chase.
Step 4 — Make booking stupidly easy
Once a couple says yes, avoid the long email of contracts, links and questions.
Instead send one link. It should let them pick a date, sign, pay the deposit and move on. Note that a deposit should reflect real loss. Meanwhile the Consumer Rights Act 2015 expects fair terms.
That is what all-in-one business management software exists for. The whole "yes, let us book it" moment then takes five minutes on a phone. Drag that step out and couples drift into "we will sort it next week", which usually means never.
What to set up this week
- First, write the instant reply message
- Next, write your two nudge messages
- Then pick one tool that captures every enquiry in a single list
- Turn on automatic sending, so the system runs without you
- Finally, send yourself a test enquiry to check it works
Once built, it runs indefinitely. Every couple gets the same welcome, the same nudges and the same easy path. Even while you shoot all weekend. As a sole trader you will also register with HMRC, claim software as an expense and file Self Assessment. Above £90,000 VAT applies, while Making Tax Digital has been mandatory since April 2026.
You got into photography because you love telling stories with light. The chasing was never supposed to be the job. It's time to stop letting it be.
Stop losing bookings to silence.
